Describe connected roof area, usable storage, permitted end uses and the delivery endpoint before requesting quotes. Ask each installer to price the same scope. Build an itemized capital budget
Include collection modifications, tank, support or excavation, transport, delivery equipment, filters, overflow, installation and commissioning. Record taxes, permits and site restoration where applicable. Mark exclusions clearly. Add a stated contingency for identified uncertainty rather than pretending every site item is known. Obtain locally current quotations; currency-neutral examples should never be mistaken for supplier offers.

If a pump is required and quoted at 350 installed, the revised starting budget is 2,550 before any additional pump operating or maintenance costs.
Keep recurring costs in a separate schedule
Estimate maintenance, replacement consumables, pump electricity and any required inspection or treatment monitoring. Use manufacturer requirements and local prices. Annualizing replacements can help compare alternatives, but record the timing of major replacements as well. Otherwise a low recurring average may conceal a large cost due shortly after purchase.
Compare benefits against the actual project
Use water actually substituted, not gross roof yield, for a bill-saving scenario. Apply relevant variable tariffs and subtract recurring costs. Other goals, such as supplemental supply or stormwater management, should be described separately rather than assigned invented cash values. Grants and rebates must be confirmed for the specific location and applicant before entering them as income.
